Registrar/Office Administrator
Holy Family Passionist Retreat Center seeks a passionate, detail-oriented professional as Registrar, to lead our registration and program booking efforts. This position is at the epicenter of our community and is oftentimes the first impression for the organization. The Registrar will report directly to the Executive Director of the retreat center or to their designee.
Key Responsibilities
Register retreat center guests, processing online, mail-in and telephone registrations. This includes batch entry, committing gifts, event linking, room assignments, and deposit preparation.
Welcome walk-in guests and provide a warm, attentive hospitality experience.
Answer phone calls and return voicemail/written messages promptly with exceptional customer service.
Prepare retreat materials for incoming retreatants and program attendees, including nametags, recognition lists, master check-in lists, priest schedules, and check-in setup.
Complete event post-closing tasks, including posting gifts, reconciling payments, and generating closing reports for leadership and finance.
Maintain accurate constituent records, updating attendance and retreat counts after each event.
Deliver a high standard of hospitality to all guests, staff, and volunteers, ensuring a welcoming and respectful environment.
Coordinate volunteer schedules for day, weekend, and special retreats.
Attend promotional and outreach meetings to support constituent engagement.
Sort and distribute daily mail; maintain and troubleshoot Pitney-Bowes mail meter equipment.
Requirements
Education: Bachelor’s Degree preferred; progressive experience may offset education preference
Experience: 5+ years of public-facing customer service and/or hospitality industry experience required.
Skills: Self-starter; proactive project management; communication (written & verbal), cultural sensitivity, problem-solving, and business acumen
Technology: proficient in Microsoft 360 suite of products; experience with Blackbaud Raiser’s Edge or other CRM database software a plus. Training provided as needed.
Supervisory experience preferred
Knowledge of and/or commitment to Holy Family mission and ministry a plus
Job Type: Full time; some evening and weekend hours may be required as needed

Employment Contingent Upon:
Applicant satisfactorily passing criminal background and reference checks.
Applicant completion of diocese-sponsored Safe Environment Training.
Salary: Commensurate with experience and regional market rates for full-time position.
